Paying Employees: Voiding Payroll Checks

"Voiding a Check" means backing out payroll for a staff member for a selected payroll and rolling back all accounting.  This can only be done for completed (finalized) payrolls, and will be accounted for in the next unstarted payroll.  This must be done on the affected staff member's Pay History screen (Personnel→Staff Member→Payroll→Pay History):




Completed payrolls are identified by the "completed" indicator:

                             


Only completed payrolls can be voided.

 


To void the check, locate the completed payroll / check you wish to void and in the Payroll Status column, click the  icon.  This initiates the VOID operation and brings up the "VOID" dialog:

                                   


This indicates - and allows you to adjust - the future payroll the "Voided" amounts will be accounted for.  VOIDs cannot affect prior, completed payrolls, they must be reflected in a future payroll.  "Future" means any payroll that is not yet in processing.  Typically the rollback "VOID" accounting will take place in "the next available payroll" but the software does not require this.

To complete the VOID, select the payroll to void the entry in, then click .

This will cross out the old record and add a record voiding the accounting for the selected future payroll:




The new entry backs out all amounts from the voided payroll (as shown above):




When the selected future payroll is run, the VOID will be processed before the rest of the payroll is processed (funds will come out before they are added back in).


The VOID transaction will be reflected in the selected future payroll - not in the original payroll.
