What is a Workflow?

Evaluation Events & Types of Workflows

An "Evaluation Event"

For example, teachers are required by the State of NJ to have a minimum of three observations per year. Each "Observation" is a separate "Evaluation Event". At the end of the year there is a final readout – a summative. The "Summative" – usually a final meeting between teacher and evaluator – is also an "Evaluation Event". The mechanics of calculating the "Final Practice Score" for a teacher, an administrator or any other type of staff member is also managed through the Genesis SchoolFi Staff Management system and produced through a Workflow – an Evaluation Event.

For example, the "Evaluation Year" for a teacher will consist of a set of Evaluation Events:

  • Observation 1
  • Observation 2
  • Observation 3
  • Summative Meeting

Different evaluation methodologies (e.g. Danielson, Marshall, etc) may require additional meetings and evaluations, each of which will be another "Evaluation Event". Each "Evaluation Event" is controlled and managed by a Workflow. The entire sequence of Evaluation Events in the Evaluation Year is controlled by what is called an "Evaluation Template". For more information on Evaluation Templates and the Evaluation Year, see the Setup – Evaluation Templates document.

A "Workflow" describes the process of one Evaluation Event; An "Evaluation Template" describes the entire sequence of Evaluation Events for a category of staff members for the entire "Evaluation Year".

Types of Workflows

There are four basic "types" of Workflows:

  • Normal, "ordinary" Workflows: The default. These describe observations, form-fills, and meetings: basic, standard evaluation events. Type of "Evaluation Events" that require a "normal, ordinary" Workflow:
    • Teacher/other staff Observations
    • Meetings
    • Evaluations of 'non-certificated staff"
    • Stand-alone Observation/Evaluations (coaches, advisors, …)

  • Summative Workflows – Summative workflows describe the final end-of-evaluation year meetings and readouts that include the production of the "Final Practice Score" for the year that will be (for teachers, principals and vice principals) reported to the State of NJ.

  • Administrative Leadership Workflows – These describe the special "Leadership" Evaluations that must be separately reported to the State of NJ for Principals and Vice/Assistant Principals.

  • Professional Development Workflows – These describe special Workflows that are used to create Professional Development and Corrective Action Plans.
