Districts have the ability to create a security role for their auditors. Instead of printing out a lot of reports, or digging through files for copies of documents, you can create a role so that the auditors have read-only access to SchoolFi and can look up the data they need.
First, create a SchoolFi user profile:
- Login Id - will be the User Name they use when logging in
- Last name / First name - can be the name of the auditing firm or the person performing the audit
- Click Add
Second, create a Password:
If you would like them to be able to create their own password, check off the "User must change password on next logon." If you do NOT want them to be able to change their password, and only use the one you provide, do NOT check this box off.
To set the password, click on the Set Password button > then key in the password you want to give them. Check off the box to ignore password complexity Rules. Click Reset Password.
When the auditor logs in for the first time, they will use the username and password you have assigned. If you have given them the permission to change their password at login, they will be prompted to do so.
Third, assign a role:
Documentation on creating a SchoolFi security role can be found here - How to set up SchoolFi Roles. Be sure that any screen you give the auditor is READ ONLY. To assign the role, in the user profile, click on the Assign Roles button and check off the Auditor role you created. Then click Assign.
A sample Auditor role can be downloaded below and imported into your instance. YOU MUST CAREFULLY REVIEW THE ROLE BEFORE ASSIGNING IT TO ENSURE IT MEETS YOUR NEEDS AND TO ENSURE THAT YOU ARE GRANTING THE ACCESS THAT YOU DEEM APPROPRIATE TO ANY USER ASSIGNED THE ROLE.
