Processing Electronic Timesheets Dated in June but Paid in July

Timesheets CANNOT cross school years.  If you have staff who completed timesheets for work performed in June, but will not be paid for it until July, you have a few options for processing their pay.



Option #1 - Go to the Payroll > Timesheets > Timesheets screen.  

  • Search for the timesheets that need to be paid.  
  • Either print out or view the details of the timesheet using the PDF icon.
  • Manually enter the timesheet details into the employee's Other Earnings tab so they go into the July payroll.
  • After the timesheet details are entered in the Other Earnings tab, go back to the Payroll > Timesheets > Timesheets screen and check off the records.  Then click the Mark Paid/No Payroll button.


Option #2 - if you want to process them in a June payroll, but the final Core payroll for June has already been processed, you can do a supplemental pay with 6/16 thru 6/30 pay period dates and a June payment date.  All records will be posted in June and would need to be included in your June tax payments.  


If you are using this option, you MUST keep your payroll year and current payroll set as a June date in order to process the agency payments and budget postings in the proper year.  THIS MUST BE DONE BEFORE YOU PROCESS YOUR 7/15 PAY.

Option #3 - Your staff can enter a timesheet for summer work performed at the end of June (but compensated at the rates from the next year position), and they can choose a date the district designates in July (i.e. July 4th) to record that day and put a note in the comments as to the date actually worked (i.e. on June 29th).  All accounting and records will be posted in July.
