Setting / Reviewing the BSR Line Number (June 30, 2024 and prior)

The BSR Line number field links the Expense Account to the Report of the Board Secretary (BSR).  Currently, there are two (2) columns on the Financial >>>  Setup >>>  Budget Accounts >>>  List tab and they are used as follows:

• BSR Line:  Utilized for the BSR Report from June 30, 2023 and prior
• BSR Line 2:  Utilized for the New BSR Tab and BSR Report from July 1, 2023 and beyond

Mass Setting the BSR Line and the BSR Line 2 

Click on the Auto Assign BSR Line Numbers button to mass set the BSR Line and the BSR Line 2 to the expense accounts.  This will ONLY work if the expense account, through the object level, EXACTLY matches the Account # structure on the Budget Lines tab.   If there are any expense accounts that do not EXACTLY matches the Account # structure on the Budget Lines tab, the field will be blank and the District will have to manually set the line number(s). 

Searching for expense accounts without a BSR Line / BSR Line 2

When you are on the Financial tab, you can perform a search for Expense accounts that have either no BSR Line or BSR Line 2 in Funds 10, 20, 30 and 40.  Here is an example of the search criteria.

Manually Setting the BSR Line and the BSR Line 2 

Click on the Edit button for the expense line that does not have a line number set (Purple arrow above).  The Details of the expense account will be listed on your screen.  Click on the dropdown for either the Line Number or the BSR v2 Line number and select he proper BSR Line as defined by the New Jersey Department of Education.

If you are unsure about what the proper Line Number is, you can refer to the Uniform Minimum Chart of Accounts issue by the New Jersey Department of Education or you can utilize the Budget Lines tab.    In addition, the lines can be reviewed in the Board Secretary Report (BSR) Samples published by the New Jersey Department of Education. 

For this example, here is the proper BSR line as listed in the Budget Lines tab in SchoolFi:
