Utilizing the Comments Field Drop Down Codes

The  Comments Field Drop Down Codes option in a timesheet can be utilized when the timesheet has a "standard" set of comments that the District wants the employee to utilize.  



For example, on a transportation timesheet, a district wanted the bus drivers to select from a predetermined list of activities that the Bus Driver was performing:


Another example was for a summer extended school year timesheet, a district wanted the teachers to define the activity they were performing on a daily basis:





Setting Up the Comments Field Drop Down Code

To create a comments field drop down code set, click on the hyperlink in the timesheet definition screen




Then, click on the Add Code Table button



Enter a short code, the Description for the code set and DO NOT modify the usage dropdown:



You can add in as many codes as you would like, and you can set the background color and font colors accordingly.





Activating the Comments Field Drop Down Code on a timesheet

On the timesheet definition setup screen, select the comments field code set that you want to utilize for the timesheet and most Distracts check off the required field option:







Adding a free-form Description / Comment box in conjunction with the comment drop down


You can also program a combination of the pre-determined comment field with a free-form description / comment box by utilizing the timesheet setup options highlighted below:
