Modifying Balance Sheet Accounts

The "Modify Account" screen for Balance accounts shows the Account dimensions at the top and current status at the bottom.   If an account has activity posted to it, you can NOT modify select fields.

Most fields can be updated:

  • Account Number - is populated by the selections in the dimensions drop-downs.  If you make a change here, you must make the equal change in the appropriate drop-down below.
  • Description - Description for the account.  This field is mandatory.
  • Fund - use the drop-down to select the Fund. This is the "1st dimension" of each Account number.
  • Balance Sheet - use the drop-down to select the Balance Sheet code.  This is the "2nd dimension" of each Account number.
  • Increase Column - for standard, state-defined codes this field is automatically populated by Genesis.  If you are modifying a district created account, use this drop-down to select debit or credit.
  • Disregard the Department and Other fields on this screen.  They are not used for Revenue accounts
  • Receivable checkbox - check this box if this balance sheet account will be used for receivables
  • POs can be charged to this account checkbox - check this box if you want to allow purchase orders to be charged to this balance sheet account.
  • Include on Cash Summary Report checkbox - if you want this account number to be included on the cash summary report (all CASH accounts are automatically included) check this box.

When your changes have been made, click Save Changes to save your updates to the Account.
