Paying Prior-Year Purchase Orders

If you need to make a payment for LESS THAN the amount for which the purchase order was rolled over, and you will be making no further payments on it, you will make the partial payment as you normally would.  Then, you will go to the Purchase Order and click the Cancel Balance button.  NEVER use the Final Payment checkbox in the payment screen for Prior-Year POs.


If you have a rolled over purchase order that you will not be paying in the new year, you will go to that purchase order and click the Cancel PO button.


If you are paying rolled over purchase order and you need to pay the purchase order for an amount HIGHER than you carried over, do the following:

    • Pay the carry-over purchase order for the amount that the PO was carried over with
    • Create a new purchase order to pay the rest of the money owed.  You can note on that PO that is paying the balance of the carry-over PO.
    • When you go to print the check for the vendor both POs will be combined in the check total (unless you choose the option to print one PO per check)

    • DO NOT over-pay the original purchase order – that will cause issues with your purchase order.  Pay the additional as explained above
