Employee's Salary Tab

The employee's Salary Tab displays all "base contracted salary" (pensionable) information.  This is used to specify the pensionable gross amount the staff member is due to be paid in the current school year (not calendar year).  The information here is derived from the staff member's Position Tracking Record and their Additional Contractual Earnings, as specified on the Salary screen itself.   

Screen Sections

  • Base Contracted Salary - This summarizes the individual's gross base (pensionable) contracted salary, including the salary(ies) from the employee's Position Tracking Record, and a list of entries from the "Additional Contractual Earnings" section of the screen.  It also shows the account number(s) the employee's salary is charged to along with the breakdown of the salary applied to each account.  You can view the data on this screen "As Of" any date you enter in the "Salary as of" field.


   


  • Additional Contractual Earnings - This is a list of any pensionable earnings that are added to an employee's salary in addition to the salary that comes from their Position Tracking Record.  In this section you can add, edit or delete Additional Contractual Earnings.


   





Adding an Additional Contractual Earning (or Editing)


Navigate to an individual's Salary tab and in the lover section, and click on Add Additional Contractual Earning



The following Pop-up Box will appear.  Complete all applicable fields and click the Add button.


                


Code - use the drop-down to choose the Additional Contractual Earning to choose the earning the employee is due.  Note - the hyperlink to "Manage Additional Contractual Earnings" takes you to the screen the ACEs are created.

Amount - if the amount is already set up in the ACE setup screen the amount will automatically populate here.  If not, or if it needs to be changed, enter the proper amount here.  Enter the amount the employee will earn for the entire school year.  Not a prorated amount.  The system will prorate the amount based on the number of pays left.  

Percent of Base + Longevity - if you want the amount paid to the employee to be a percentage of their base pay plus their longevity amount (instead of a specified dollar amount), enter that percentage here.

Comment - can be used for any notes/information you want to record about this ACE.

Only for this position - use this drop-down to select the position that this ACE will be charged to.  This field must be populated.


When complete, click the Add button.




To add any required additional details or to modify the Additional Contractual Earning for the individual, click on the Edit button.

Disabled checkbox - if the employee should no longer receive this Additional Contractual Earning, check this box off.  This is the only way to turn off an ACE.  The date fields do nothing to disable/enable an ACE.

Start/End Dates - these fields are for informational purposes only.  They do NOT control when an ACE is enabled/disabled.  Only the Disabled checkbox does that.  For example, if an employee stops receiving an ACE on 12/31/YYYY you will enter that date in the End date field and then check off the Disabled checkbox.  You can also enter a Start date so the record shows the full range of when the employee received this earning.  This is for historical purposes. 

Can rollover to next school year? checkbox - if the employee will receive this same ACE next year, check this box and the system will automatically roll this earning into the employee's next year salary record.

 


 

Advancing This Individual on their Salary Guide

DO NOT USE THIS BUTTON if you plan to roll over all staff members at year end with the SchoolFi Position Rollover procedure.  A button can be found at the bottom of the Salary screen that will advance the individual to the next year's Salary Guide:


                         


Clicking this brings up a confirmation dialog:

                             


 

Click Ok to continue and advance the staff member to next year's salary guide.
