Employment Contract Signatures

Modified on Wed, Dec 27, 2023 at 11:38 AM

Contacts are signed by the staff member named in the contract, and some combination of the Board President, Board Secretary and/or the Business Administrator.

Signatures for the 'administration signatories', the Board President, Board Secretary and/or the Business Administrator, can be configured to occur automatically (as if using a stamp to stamp their signature on the contracts) or manually where an administrative signatory actually examines a contract before signing it.

Identifying the Administration Signatories in SchoolFi

Each of the 'administration signatories' has to have a "Staff" object created for them and attached to a portal account.  The identities of the 3 are specified on the Setup >>> District >>> District Settings screen:

This allows the system to be able to 'pull' the correct signature for each of the signatories.

If one of these Positions is filled by a new individual, we recommend you Achieve the past Board President and/or the past Board Secretary so that the correct signature can be associated with the contract based on the Board Agenda date of the Position Tracking Record.  This is done by clicking on the Previous button.  If you are utilizing this feature, the "Purple" box must be checked in the Signature Options as included below.

Recording the Signature that will print on the signed Contract

All Contract signatures are generated from the respective Employees Signature in their Employee Portal.

Signature Sections / Options for Contracts

Option #1:  The Selected signature appears AFTER the employee signs the contract.  This is set by the check boxes in the RED section above.

Option #2:  The Selected signature is manually assigned to the contract.  When this option is selected, the respective individual would manually sign each and every contract.  This process is done in the Employee Portal.  This is set by the check boxes in the  Yellow  section above.

You can have any combination of Option #1 and Option #2 on a row-by-row basis.
