Setting up the Onboarding Module

Task #1 – Installing the Onboarding Employee Portal Role:

Navigate to the Setup >>>  Employee Portal >>> Roles tab and click on the Import from Library Button.  Find the onboarding role and import the onboarding role into SchoolFi.


The Onboarding role contains access to the following screen.  The District always has the option to remove access to screens if the District does not want the screen(s) included in the onboarding process.  


Task #2 – Creating the Dynamic Staff List for the Onboarding Forms:

Navigate to the Personnel  >>>  Edit Lists  >>> List tab and click on the Add New Staff List Button.  Title the dynamic staff list and click the Add button.  


Utilize the following parameters for the Onboarding dynamic staff list:

The expression is ${staff.onboardingOpenInPortal}




Task #3 – Creating the Onboarding Document Type:

Navigate to the Setup  >>>  Doc Mgmt  >>> Document Types tab and click on the Add Doc Type Button.  The recommended Setup is as follows:




Task #4 – Creating the Onboarding Task Sets:

The Task Sets are groupings that you can create to limit the access for the onboarding features.  For example, you may only want new teachers to be able to add their certification(s) because certifications are not required for support service employees.  


Navigate to the Personnel  >>>  Setup  >>> Onboarding >>> Task Sets tab and click on the Add Task Set Button.  


  1. Add (create) a Task Set: Click on the “Add Task Set” button
  2. Enter the CODE and the Name of the task set
  3. Click on the ‘Edit” button to define the tasks that are required for the respective Task Set 
    1. Click “Add a task”
    2. Select the type of Task
    3. Click the “Add” button
    4. After the task is added, you can click on the ‘Edit” button to add the tasks that will be included in your Onboarding Task Set.  The Onboarding tasks will be sequenced in the order you add them to the Task Set.



Task #5 – Modifying the Onboarding Tasks:

Each Task has different options for the staff members.  You should review each and every task to ensure that the District is utilizing the appropriate options.  To access the options, click on the Edit button for the respective task and make your selections, accordingly.




Task #6 – Create an Employee Form Folder for Onboarding Forms:


Click on the Add Employee Form Folder, and add a folder named "Onboarding"
