Portal Permissions Setup

These settings will vary depending on who the staff member is in the district and the responsibilities they hold when working on the evaluation process. All these are based on the individual, so they can vary staff member to staff member.


                        

Minimum Permissions Based Around Process Admins


The options selected below are the minimum permissions a Process Admin should have on their account, the Process Admin's job is to oversee and manage the Evaluation Process. They may be conducting evaluations as well, but their primary focus would be to generate observations for the year, assign admins to their events, and help troubleshoot issues with the staff. 


Please note this is just a suggestion of permissions, depending on the individual, district policies, and responsibilities they may vary.





Minimum Permissions Based Around Observers (Principals/ Vice/Assistant/Directors)


The options selected below are the minimum permissions an observer should have on their account, the observer will need to be able to conduct observations, reference historical observations, as well as being able to approve PDPs, SGOs, and maybe even Admin Goals. Even though these staff members may not be filling out SGOs, it is always best to give them the permission anyway so they can reference the screen when helping their staff troubleshoot issues on their forms.

Minimum Permissions Based Around Observers (Supervisors)


The options selected below are the minimum permissions an observer (supervisor) should have on their account, the observer will need to be able to conduct observations, reference historical observations, as well as being able to approve PDPs, SGOs.  Even though these staff members may not be filling out SGOs, it is always best to give them the permission anyway so they can reference the screen when helping their staff troubleshoot issues on their forms.

Minimum Permissions Based Around Observed Staff (Teachers, OCS, Etc.)


The options selected below are the minimum permissions any of your observed staff only should have. Since they are not not involved with the actual evaluation process, they simply need the ability to complete their SGO forms, and view their NJSmart information. This will be the permission setup that 90% of your staff have.

Situational Based Permissions


Super Observer - This is not meant to be given to your staff as part of their standard set of permissions - the title can be misleading. The purpose of this is to give the ability to secretary who do the scheduling for their admins to be able to mange that process. Normally only the individual who is assigned to the event can schedule dates and times, this will override that restriction and let them do it for anyone they have access to.


Can Mass Sign Observation As...(Principal, Director, Superintendent) - This is designed for only when you have one or all of these individuals signing off on every observation that takes place. Outside of the normal Observee and Observer signature, some district require the principal, a director, or superintendent to approver all completed observations. This allows them to approve them in one click, verse individually.
