Pulling Attendance Allotted Days into a Contract Template

*Below is a detailed breakdown of the recommend procedure for adding Attendance details into an Employment Contract*



To bring the allotted days into an individuals Employment Contract we recommend utilizing User Texts.


The reason we do not recommend using Attendance macros in a Contract is because when a district issues the next year contracts in or around May, the Attendance records do not yet exist for the staff in that new year (the Attendance Rollover takes place starting June 30th). The issue districts will run into is next years position data is populating with this years Attendance. 


Setting up the User Texts as Attendance Balances

On the Personnel - Setup - User Texts / Dates screen the district can add the Attendance Codes they want to pull into the Contract.



Select "Add User Text" and create a unique code and description.



There are several displaying options for these user texts but the recommended one is "Rolled over to next year". You will also want to make sure the "Answer Type" is set to "Text".



Once all the Attendance Balances you are looking to are created as User Texts you can go to the staff member you are going to issue the contract to and enter the values in on the staff members User Text / Dates screen. 



If you ever need to confirm what those values should be you can check on the staff members Attendance - Balances screen.





Setting up a Contract with Attendance Expressions

On the Setup - PDF Forms - List of Forms screen, under the "Usage" search filter, click on Contracts to narrow down your search results.


Once you found the Contract you want to make a Custom Copy of, select "Tools" and then "Copy".


You will fill out the popup making sure to select the school year, create a unique Code and Title and then press the "Copy" button.


Make sure you are on the Layout screen. You will have to locate where on the contract you want the Attendance details to populate. You can do so by clicking through the sections on the contract and on another tab, using the Preview button to display the PDF version of the Contract. 

***This is the macro you will paste into the Custom Contract where you want the User Text (Attendance Value) to display: ${staff.userTexts['CODE'].value}


Now that the Contract is complete, the next step will be to create a Contract Template. Go to Personnel - Contracts - Setup - Templates and select "Add Template"


Then you can to the Personnel - Contracts screen and assign the template and then create contracts.
