Prenote ACH File

There are two ways you can send a prenote ACH file to the bank for a staff member.  One is to send an individual file that contains those staff members whose bank account(s) is set to prenote.  The other is to include those staff members in the regular direct deposit file for the pay period.


 

1 - Send an individual prenote file prior to running payroll


Go to the Payroll > Prenote ACH File screen -

First, you must set the employee's bank accounts to pre-note.  Under the Payroll > Bank Accounts tab of an individual staff member, set the bank account(s) to their corresponding types: 

  1. Checking = Prenote Checking
  2. Savings = Prenote Savings

Then go to the Payroll > Prenote ACH File tab as shown on the screen shot above.

In the "Prenote ACH File Generation" note card, you will see a count for the number of Prenote Checking and Prenote Savings accounts you have set.  Click the Generate and download prenote file button.  This will generate the prenote file that you can send to your bank for verification.

Once the information has been verified by the bank, on the same screen, you will click the Convert prenote to regular accounts button.  This will set the bank account types based on the Prenote setup:

    • Prenote Checking = Checking
    • Prenote Savings = Savings

 


2 - Send the prenote along with the other direct deposits in a payroll

 

First, you must set the employee's bank accounts to pre-note.  Under the Payroll > Bank Accounts tab of an individual staff member, set the bank account(s) to their corresponding types: 

  1. Checking = Prenote Checking
  2. Savings = Prenote Savings

When you run the payroll the employee will be included on the direct deposit file as a prenote and the employee will receive a physical check for this pay period.

When the Payroll is finalized, the employee's direct will automatically be changed to Checking or Savings and will be included in direct file IF the setting below has been checked.  If this box is not checked, the prenote setting will remain until you manually change the employee's bank account settings to Checking or Savings.  To set this checkbox, go to Payroll > Setup > click on the Properties button for this year and check this box.  Also do the same for any future years created on your Payroll Setups list.
