How to update an employees health tracking record (move to a new plan or new membership type)

If any information changes on a healthcare tracking record, the district MUST utilize the Close and Open New Record button to cap, or close, the old record and create a new record to reflect the changes.




  • For example - if a person is moving from Single membership to Parent & Child  effective 01/01/2025.   
    • Set the end date of the current record to the proper end date.  For this example, the end date would be set to 12/31/2024. 
    • Click on the Close and Copy to New Record button.  When the Close & Open New Record window opens, enter the New Record start date of 01/01/2025.  Click the Copy to New Record button.  
    • The system will copy all of the information from the current healthcare tracking record into a new healthcare tracking record with the start and end dates that were included in the pop up window. 
    • In the new record, you will make the Membership Family.  Click Save.
