Payroll Processing Operations: Payroll Queues

Queue Overview

The Payroll Queue mechanism, with the Payroll Queue display panel on the left side of the Payroll→Payroll dashboard screen, is intended to alert payroll staff to changes made to employees records by anyone in the district (e.g. HR).  


No action is required to place an employee on a payroll queue.  The SchoolFi system automatically notices when a staff member is hired, terminated or otherwise experiences a "status change", or when timesheets are submitted, and the system automatically places staff members on the proper queue(s).   




Queue Panel

The payroll queue panel occupies the left side of the Payroll→Payroll dashboard screen and always displays the up-to-the-minute status of all queues.

The payroll queue panel has queues for "status changes" that relate to Payroll, including:

  • New Hires - newly hired staff have this checkbox flagged on their Demographics screen.  It indicates with a yellow "New Hire" banner to bring attention to the employee's record.  That way the HR and Payroll Departments can pay pay extra attention to this record to be sure it is completed properly.  Once the employee has been paid for the first time, this flag is automatically removed.
  • Unverified Staff - there are a variety of occurrences that will cause an employee's payroll record to become unverified.  This allows the payroll department to review the changes to be sure the employee's record is correct for payroll.  Click HERE to see all reasons that cause a record to become unverified.
  • Unsubmitted Timesheets - shows when a staff member has started filling out a timesheet, but has not submitted it through the approval process yet
  • Waiting for Approvals Timesheets - shows when a staff member's timesheet is still in the approval process
  • Ready for Payroll Timesheets - shows all timesheets that have been fully approved and are ready to pull into payroll to be paid
  • Multi Position Staff - shows all employees who have more than one position.  The district should review them to verify they are legitimate multi-position assignments
  • Missing Charge To - shows staff members who have positions that are missing charge-to accounts in their position tracking record
  • Leaves starting and ending - shows when a staff member is starting or ending a leave of absence during this pay period that has been flagged as an unpaid leave.  It allows the payroll staff to dock or adjust the base pay accordingly if needed.
  • Docks - shows any absences during the date range shown that are coded as "unpaid" so that the payroll person can dock the employee's salary as needed
  • Contractual Ending this Payroll - shows employees who have a contractual end date entered in their record that falls within this pay period
  • Excluded from Payroll but have Salary Balance - shows employees who have "Exclude from Payroll" selected on their Payroll > Summary screen and also have a salary balance in their Payroll Summary screen.  This allows the payroll person to correct which option should be removed.
  • FIT or SIT Exempt - shows if an employee has the FIT or SIT Exempt box checked off on their Payroll Summary screen.  This allows the payroll person to verify if this should be checked or not - just in case it was accidentally flagged.  NOTE:  When "SIT Exempt" check box on the Payroll Summary screen is checked off and the NJ Tax Table "Exempt" is chosen, you should keep the NJ Income Tax deduction toggled on to ensure that the Applied Wages are calculated correctly.
  • Staff with Payroll Forms - shows employees who have filled out a Federal or State W4 form, or a new Direct Deposit form, in their employee portal that still need to be processed.
  • Staff with possibly incorrect pays left - shows employees whose pays left on their Payroll Summary tab is different than the number of pays left in the school year.  
  • Staff Turning 70 within 60 days - allows you to see staff members that may need deductions adjusted based on their age.


                                                   



Working with a Queue

The queue entry tells you how many staff members are linked to the queue and provides a "plus sign" to expand the list and a hyper-link to take you to the first person on the list.  There you can scroll through each person within that queue's list.  Note that there is also a tool tip (blue i) next to each queue that explains what each queue represents.


                                    


The number in parentheses - e.g. "(1)" - is the number of staff members who are currently linked to this queue.
