The Payroll > TSA/Shelter screen is a read-only screen providing up-to-the-minute analysis of staff members' Year to Date tax shelter withholdings:

What This Screen Shows

The screen has five sections:

  • The search criteria - This selects which staff members will be included in the list.
  • Overall Totals - Over all totals for staff members currently included in the list appear in two places:
    • Top Left:
    • At the bottom of the 403(b) and 457(b) columns:
  • Demographic Information for staff members
  • 403(b) information for staff members
  • 457(b) information for staff members

All search results on this screen can be exported to Excel simply by clicking the Excel icon.

Search Criteria

The criteria are:

  • Status - Include Active, Inactive or All staff members.  The default is "All".
  • 403(b) at least %:  Include only staff members who have reached at least X% of their yearly allowed contributions, cumulatively, their 403(b) accounts.  If they have more than one account, all accounts are included in the calculated total.
  • 457(b) at least %:  Include only staff members who have reached at least X% of their yearly allowed contribution to their 457(b) account.
  • 50+ in 2YYY - Include only staff members who will be 50 years old or older by Dec 31, 2YYY.   This is "50+ in Current Year" for whatever the calendar year of the screen is.
  • Has 403b - Include only staff members who have a 403(b) account.
  • Has 457b - Include only staff members who have a 45(b) account.

The criteria are cumulative:  if you select more than one, all of the selected criteria are applied.  For example, if you check "50+ in 2YYY" and "Has 457)b)", it will find all of the staff members who both have a 457(b) AND will be at least 50 years old by the end of the current year .

Staff Member Demographics

The demographics section shows the following:

  • Staff Id - SchoolFi local staff member Id number
  • Last Name - This is a clickable link to the staff member's Personnel→Modify Staff→Payroll→Deductions screen.
  • First Name
  • Status:  A for Active or I for Inactive - Inactive staff members are also shown in red font:
  • Age - Current age as of today
  • Birthday - Birth month and day.  E.g. 5/31
  • 50+ in 2YYY - A checkmark appears if the staff member will be at least 50 years old on or before December 31, 2YYY, or the current year showing on the screen.

403(b) Information

The 403(b) section shows cumulative information for all of a staff members 403(b) accounts:

  • YTD- Their year-to-date contributions to all 403(b) accounts.
  • 403(b) Limit - The staff member's yearly limit for the account, as imposed by the Federal Government.  This amount is hard coded, based whether a staff member has reached age 50 by the end of the current year, and is not configurable.   The federal limit is 18,500 for all 403(b) accounts cumulatively if the staff member is younger than 50 at year end, and 24,500 for staff members who are 50 or older by year end.
    • The amount indicates how many 403(b) accounts the staff member has.   The number in parentheses, if there is one, indicates the staff member has multiple accounts:
    •  - An audit is provided.  Click the icon to view an audit for how the total was reached.   See the Audit section below.
  • Remaining - The amount the staff member can contribute in future payrolls before they hit their yearly limit.
  • % - The percentage of the contribution limit the staff member is currently at.

For example: if the line reads as follows:

This staff member:

  • Has two 403(b) accounts
  • Has so far this year contributed 4,500.00 dollars to their 403(b) accounts, total (both accounts).
  • Has a yearly limit of 19,000.00
  • Can contribute another 14,000.00 to their 403(b) accounts before reaching their yearly limit.
  • Has contributed 24% of what they can contribute.  That is:  4,500.00 is 24% of 18,500.00.
  • An audit of what their contributions for each payroll is available by clicking the  icon.

The 457(b) Information section works the exact same way as 403b
