Where W2s can be viewed

There are four locations in the system (internally and the portal) where a staff member's W2 document can be viewed electronically:

  • The staff member's Payroll Pay History screen - This can be done before the W2s are published to Doc Mgt:  that is why this is called a "preview".
  • The staff member's Documents screen - All documents for the staff member are visible from this screen, including W2s that have been published to Doc Mgt.
  • The W2 is visible in the staff member's portal account Documents screen if the W2 has been published to Doc Mgt and today's date is on or after the "Visible in the Employee Portal On or After" date specified on the Publish W2s to Doc Mgt screen.

A preview of the W2 can be viewed on the Staff Member's Pay History screen

This preview does not require that document management be configured.  That is, W2 documents do NOT have to have been published to preview them.


It is a quick way to preview what the W2 will look like for a specific employee,


                                       



The final created W2 can be viewed in 3 places:

1. Staff Members' Documents tab in SchoolFi

The documents tab (Personnel→Staff Members→Documents) displays the W2 PDFs that have been published to the staff member:



2.  Staff Member's Pay History Tab in SchoolFi

If the "Print W2 button available on the Payroll Summary tab" option was enabled on the Payroll→W2→Publish W2s to Doc Mgt screen is checked and the W2 documents have been published (and the staff member received a W2), a button will appear on the employee's Pay History screen (bottom of screen) to print the W2:

                                           

 

3. Employee Portal

W2 documents will appear in the Employee Portal on the Payroll→Documents tab.   They will appear regardless of whether the staff member has consented to Electronic Delivery.   The consent option is to receive W2s exclusively electronically and NOT get a paper copy.  All staff members get an electronic copy - regardless of whether they opt out of a paper copy or not.  

W2 documents will appear in the portal if they have been published and today's date is after the "Visible in the Employee Portal On or After" date specified on the Publish W2s to Doc Mgscreen:
