Mass Posting Daily Attendance

You can mass post daily attendance for staff members and set the substitutes at the same time.

This is done via the Personnel→Attendance→Post Attendance screen.




The "Attendance Code" column drop downs contain the list of Attendance Codes that have been defined for your district:


                                              



Genesis does not provide these - they are defined for your district during the initial configuration process.  These can be updated locally for your district.



Mass Posting Daily Attendance

Step 1: Search for Staff Members

Go to the Personnel→Attendance→Post Attendance screen.   At the top of this screen there is the usual set of search parameters:

 


The "Attendance Date". defaults to "today", whatever "today" is.  If you are taking attendance for any other date, change this field prior to searching for staff members.

After adjusting the Attendance Date, enter any additional search criteria, then click Search.  This brings up the list of staff members who match the entered criteria.

If you do not specify additional search criteria, all staff active staff members will appear in the resulting list:



Note that only the last five columns are editable.



Step 2: Post Attendance

There are two options:

  • Check off the staff members, then select the single attendance code and mass post the code to the staff members. 
  • Select the staff members, update their settings, and save the updated settings.

Option A: Mass Post a single code to checked off staff members.

  1. Check the checkboxes for the staff members you want to use the same code for.
  2. Click the button. This brings up the set of all available attendance codes:

  4. Click on the code you wish to post to all checked staff members.   This will post the code to all of the selected staff members:  you do not need to also click Save.

Option B:  Setting all daily values for each staff member

The six editable columns on the right side of the staff list are:

  • Attendance Code - The staff member's Attendance Code for the selected day.
  • Value - Specify how much of the day the staff member was absent.  This is a decimal in the range 0.0 < Value < 1.0.   This is a required field. 
    • 1.0 means "a full day".
    • 0.25 means "a quarter day" - 25% of the day
    • 0.50 means "a half day" - 50% of the day
    • 0.75 means "3/4 of a day" - 75% of the day
    • Any decimal can be used.  E.g. 0.675
  • Comment - A text comment on their absence.  This is optional.
  • Time Period - "AM" or "PM"
  • No Sub Required - Formally indicate that a substitute is not required.
  • Substitute - The substitutes that qualify to substitute for this absent staff member.  This is controlled by the "Substitute" settings on the substitute's Demographics screen (Personnel→ Staff→Demographics).   Selecting a substitute is optional.

To post attendance and optionally specify substitutes:

  • Select an Attendance Code
  • Specify the appropriate "Value" for the day.
  • Optionally enter a Comment.
  • Optionally select "AM" or "PM"
  • Optionally indicate that "No Sub is Required"
  • Optionally select a substitute.

When you have entered options for all the staff members you wish to update, scroll to the top or bottom of the list and click the  button. This will update attendance for all checked staff members. In addition, if a substitute has been specified, a Substitute Record will be generated.
