Publishing 1095Cs to Doc Management

  • Before you can generate 1095C forms and send them to Doc Mgt for staff members, you must configure the linkage between 1095C's and Doc Mgt (covered in the next article)
  • Best Practice:  Review all 1095C forms before sending them to Doc Mgt:  Run the 1095C Report.


Send 1095C Forms to Doc Mgt for Staff Members

To generate 1095C forms in PDF format and distribute them to staff member's Documents tab (i.e. put them in Doc Mgt), go to the Payroll→1095C→Publish 1095Cs to Doc Mgt screen:

                         


  • If there is no 1095c document type in the drop-down, you must configure the 1095C - Doc Mgt linkage first (see separate article for details)
  • If the 1095C - Doc Mgt linkage has been set up, there will be a Create and Distribute 20YY1095c documents to employees button at the bottom of this screen.  Also, the telephone number must be entered for the button to appear.  Click Save.  
  • Date of the 1095c:  enter the date you wish the 1095c to show in the employee portal.  For example - if you want it to show in 2023, enter 1/1/23.  If you want it to show in 2022, enter a date in 2022 (such as 12/31/22). 
    • If you change the date of the 1095c so it appears in a different year as instructed above, and you have already published them to the portal, you can use the "Refresh 1095c document if date changed" button to move it to the year you chose.

 


To Create and Distribute the 1095c forms:

Click the Create and Distribute 20YY 1095c documents to employees button to generate the 1095C documents.

This brings up a confirmation dialog:

                                  


Click OK to continue and create the documents.  When the process completes an information dialog will display the number of 1095C documents that have been created:

                                  


The screen will now have changed and there will be a Recall 1095c documents from employees button as well as an updated count of 1095C PDF forms in Document Management:

                         


 

Recalling and Replacing 1095C Forms in Document Management

To update 1095C forms in Document Management you must recall and then regenerate them.

To recall the 1095C forms, click the Recall 1095c documents from employees button.  This displays a confirmation dialog:

                                  


Click OK to continue and recall all 1095C forms from Document Management (for the current school year).


You can now resend 1095Cs to Doc Mgt.
