There are two types of salary guides in SchoolFi:
- Regular, "full salary" Guides - Each step of each column specifies a yearly base salary. These guides can also be utilized for stipends.
- Hourly Guides - These are used for two things: computing a yearly base salary based on a fixed set of hours at a specific salary, and for computing "additional contractual earnings".
Anatomy of a Salary Guide
Salary Guide Header - The guide header specifies the type of guide and rollover information. It has three sections that are described below:
- School Year - Guides are always specific to a school year. This identifies the school year in which this guide was used / is being used. Once created it is not editable.
- Code - Short identifier for the Salary guide.
- Name - Name of the guide.
- Display Sequence - This simply places the guide in the list of guides on the Personnel >>> Staff >>>Salary Guides >>> List of Guides tab. It has nothing to do with calculating salaries.
- Employee Group - This identifies a guide that functions as a "staff group" for staff members who are not actually on a guide (e.g. superintendent, BA, ...) It has nothing to do with calculating salaries and is for informational purposed only.
- Do not roll positions on this guide - This option will exclude positions assigned to the salary guide from the position rollover process.
- Used as a Longevity Guide - It has nothing to do with calculating salaries and is for informational purposed only.
- Use this guide for Longevity Amount - It has nothing to do with calculating salaries and is for informational purposed only.
- Guide cells are hourly rates - Check this option if the guide is showing hourly rates instead of annual salaries.
- Hours per Day - The number of hours in a day, for staff members on this guide. This is utilized, in conjunction with the Days in School Year field to calculate hourly / daily rates of pay for timesheets.
- Days in School year - The number of days in the school year for staff members on this guide. This is utilized, in conjunction with the Days in School Year field to calculate hourly / daily rates of pay for timesheets.
- Time Week Set - Utilized in Timesheets for the Max hours per week calculation.
- Max Hours per Week - Utilized in Timesheets to capture maximum hours to be paid per week
Salary Calculation Rules
- You can choose to Calculate Daily and Hourly rates from the Contractual Salary
OR choose from the options listed on the left
- Include other base earnings when calculating hourly or daily rate from salary
- Calculate Daily Rate from Hourly Rate, Hours in Day and FTE
- Round to whole numbers after calculation - this option will round the calculated salaries in the salary guide to the nearest whole number.
Rollover Rules
- Do not move up one step in Salary Guide if contractual start date after - If a staff member on this guide has a contractual start date after the selected date, they are retained on their current guide step at rollover.
- Do not move up one step in Salary Guide if hired after - If a staff member on this guide has a hire date after the selected date, they are retained on their current guide step at rollover.
- Do not move up one step in Salary Guide if position tracking start date after - If a staff member on this guide has a position tracking start date after the selected date, they are retained on their current guide step at rollover.
- Steps to Advance when rolling over to next school year - This is generally set to 1 or 0. If it set to 0, staff members on the guide are rolled into the new year without being placed on the next step of the Guide (they are retained on their current step). If this is set to 1, staff members on the guide are moved up one step (down one row) at rollover.
Salary Guide Columns & Steps
The guide can have as many columns and as many steps as needed. For example:
- Columns and Steps can have whatever name / identifier you wish to give them. SchoolFi does not dictate names for Steps or Columns.
- On a "regular" guide each cell identifies a base salary.
- On an "hourly" guide each cell identifies an hourly rate:
