Demographics

Navigate to the "Personnel" tab, search for a staff member, and go to the "Demographics" tab.




The "Demographics" tab will show specific information about the staff member including some of the following:

  • Photo
  • (Local) Staff ID
  • (SMID) State ID
  • SIS ID
  • Swipe ID
  • Employment Status
  • First Name
  • Last name
  • Former/Maiden Name
  • Suffix
  • Gender
  • Union Eligible
  • Certified
  • Title
  • Category
  • Languages spoken by Teacher
  • Ethnicity
  • SSN
  • Date of Birth
  • Locations
  • Employee Flags
  • Include in NJSMART




Identification Numbers

The following Identification numbers are kept within Staff Management:

  • (Local) Staff ID
  • (SMID) State ID
  • SIS ID
  • Swipe ID

Identification numbers, no matter what type, are specific to each staff member and should not be shared by any staff. No two staff members should have any of the same ID numbers (even inactive staff members).



Employment Status

There are two options for Employment Status: active and inactive. If a staff member is listed as inactive then they will most display on searches, and will be left out of most reports.



Certified

If a staff member is certified, this check box should be selected in order for their status to correctly populate on the NJ Smart Reporting.



Category

All staff members should have a category selected. This is used for reports and search lists. If you need to add a staff category, click the "flashlight" icon found next to the category drop down.



Location

The location(s) of a staff member should be selected. The location in bold and first in the list is their "Primary Location". This location determines who their Principal is. It is also used for reports and search lists. Staff members can have multiple locations, however, only the "Primary Location" has functions within the system.



Employee Flags

Employee flags help determine what staff members to pull for different reports you may run. It also holds higher functionality for Principals and Superintendents as it populates their names on the Principal list for Schools and the Superintendent list for the District.



Include in NJSMART

This option needs to be checked for any staff members who are reported to the NJSMART for evaluations. If this check box is not checked, they will not appear on the NJSMART reports. Even if a staff member is listed as inactive, if they have this checked off, they will still appear on the NJSMART reports.

 


Budget Options

  • Can be a budget manager:  Grants access to a Budget Build Worksheet in the Budget Build Module.
  • Can be a subordinate budget manager:  Grants access to a Budget Build Worksheet in the Budget Build Module and is utilized to identify a support staff member who reports t the respective Budget Manager.
  • Can Submit Requisition and Encumber POs when low fund warning exists:  Will allow the submission of a Requisition if the Requisition brings the balance of the Budgetary Account below the threshold set by the Business Office.
  • Can view Bid Threshold Exempt checkbox when submitting a requisition:  Will allow the submission of a Requisition if the Requisition exceeds the Bid Threshold amount and the Bid information is not completed for the Requisition.
