Approving Requisitions in the Employee Portal

If you are set up to approve requisitions, your Budget portal screen will have two tabs – My Requisitions and Approve Requisitions.  To enter a Requisition, use the My Requisitions tab.  To approve requisitions, use the Approve Requisitions tab.  

 



 

Approving a Requisition

               

1.  Upon entering the screen, in order to see the requisitions waiting for your approval, leave the Only for my Approval box checked and leave the Status as “Waiting for Approvals,” then click the Search button.  

 

If you want to search for specific requisitions, you can use any of the search options displayed in Box A above.  To see requisitions in a status other than Waiting for Approvals, use the Status drop-down to select another status.  NOTE:  If you choose the blank space at the top of the drop-down you will see all statuses.   

 



2.  To review a requisition, click on the requisition number in the Req Number column.  The requisition data will be displayed, but not able to be edited.   To continue reviewing requisitions without having to go back to the search screen, click on the next requisition number in the tan band.  Sample below.

         

 


3.  To approve requisitions, you have two options –

  • Use the main Approve Requisitions screen.  Click on the Approve button in the Approvals column.  See screen shot below.

     

 

OR

  • Approve in each requisition on the requisition entry screen while reviewing (step 2).  See screen shot below.

      


 

4.  Once you click the Approve button, it will prompt you to enter your PIN number, then click the Sign and Approve button.

                                    

 

5.  To send a requisition back to the originator, click the Send Back button in the Approvals column on the main Approve Requisitions screen, or use the Send Back button in the requisition entry screen during your review.  Enter a message explaining the reason for returning the requisition, then click the Send Back button.  The originator will then be able to correct what was noted in the message and re-submit the requisition back through the approval process.

                                     

 

6.  To deny a requisition, click on the Deny button in the Actions column of the main Approve Requisitions screen.  Enter a reason for denial and then click the Deny Requisition button.  The Deny button should be used when a requisition should be permanently denied and not turned into a purchase order.   The denied requisitions should be canceled.

                                    

 

Once a requisition has gone through all the approval levels, the status will become “Turned into a PO.”  You will then be able to see the purchase order number assigned to your requisition.
