Embedded Document Log vs Standalone Artifact Log
There are two types of "logs" which items can be uploaded into:
- Standalone Artifact Log - This type of log is NOT attached to any individual Evaluation Event and is NOT controlled by a Workflow. It is defined directly in the Evaluation Template.
- Embedded Document Log - This type of log is ALWAYS attached to a single Evaluation Event and is ALWAYS controlled by a Workflow. It is not mentioned directly in the Evaluation Template.
To confuse things, there are two separate styles of "Embedded Document Log":
- "Embedded" - This is a truly embedded document log which appear exclusively in the Event Panel for the Evaluation Event in the Employee Portal, both for the Observee and the Observer.
- "Standalone" - While confusingly called a "Standalone" Embedded Document Log, this is NOT the same as the Standalone Artifact Log. This is a Document Log that belongs to - that is, is embedded in - the Evaluation Event(s) controlled by this Workflow - but that appears outside of the Evaluation Event's own panel. It can appear independently of the Evaluation Event, but all of the uploaded Documents are part of the Evaluation Event. It was designed explicitly for Danielson's Domain 4, which can be "open" for uploading all year, but is definitively still part of Domain 4. Although this is called "Standalone" (embedded) Document Log, it is still part of the individual Evaluation Event and is still controlled by the Workflow. "Standalone" here means it will most likely be displayed for a lengthy period of time.
The example below shows the (truly embedded) Embedded Document Log appearing on an Evaluation Event/Observation panel in the Observer's Portal:
Configuring The Embedded Document Log
Step 1: Turning on The Embedded Document Log
When the "Document Log" drop down is set to "None", the Embedded Document Log associated with this Workflow is turned off. To turn it on, one of the other two selections must be made:
- Embedded - The "Embedded" Embedded Document Log appears in the Evaluation Event's own panel in Employee Portal.
- Standalone - The "Standalone" Embedded Document Log appears at the top of the staff member's entire Manage or My Evaluations page in the Portal. However, it still "belongs" to a single Evaluation Event.
Step 2: Choosing the Document Management Doc Type for the Embedded Document Log
The Document Management Doc Type specifies how and where the uploaded items will be stored. If the Document Log is to be turned on, the Document Management Doc Type MUST be selected: it cannot be left blank.
The Document Type drop down will contain all of the available Document Management Doc Types. Document Management Doc Types are created and managed in the Document Management module.
Step 3: Optionally Choosing Integration Parameters
Certain methodologies link uploaded documents/files to the Rubric specified in the Workflow. If your methodology needs to link uploaded items to parts of the Rubric, check the "Enable Page Group field" checkbox. This requires every uploaded item to be linked to one of the "Page Groups" of the Rubric.
The methodology you use will not call the Rubric divisions "Page Groups" (that is SchoolFi's internal name for Rubric divisions. To use your methodology's preferred term (e.g. "Domain"), use the "Doc Upload Prompt" and "Column Header" fields to customize what your end users will see.
