Scenarios

In order to start using Budget Build, you must have a scenario created.  Until a scenario is created, all Budget Build screens will show the following warning:

 


Create your initial Budget Build Scenario

  • Go to the Budget >>> Budget Build >>> Scenario Tab
    • Click the “add/copy” scenario button               
    • Create initial “Proposed Budget” scenario
      • Scenario Name:  enter the name of your scenario
      • Description:  enter the description for your scenario
      • Copy From:  for your first scenario, leave "Do Not Copy" in the drop down
        • For future scenarios you wish to copy from the original, use the drop-down to select the existing scenario you wish to copy
        • Copy details/Documents:  allows you to copy any details or documents from the existing scenario you are copying
      • Seq:  this is the sequence number.  They go in increments of 10 by default.  If you have more than one scenario you can change the order in which they display on the screen by changing the sequence number.  
      • Type:  Free Form = you can enter any amounts you wish.  Percentage Limited = you can enter the percentage you wish to not exceed from last year's budget.  For example, if you enter 2% as the Percent Limit, if you enter an amount that is higher than 2% of what was budgeted last year it will warn you.  If you check the Hard Limit box, it will stop you from entering an amount higher than 2% of what you budgeted last year.

 

After you have added your scenario, you need to configure the settings for it.  Click the Edit button to complete the setup of your scenario.

                        


After clicking the Edits button the following screen opens so you can enter your settings for this scenario:


  • Check the Enabled check box to enable this scenario so you can use it
  • Background & Text Color:  clicking on the color allows you to change the color of the background for the scenario, or the text color.  A sample of how the colors will look is in the box to the right.
  • Employee Portal Options section:
    • Visible in the portal from and up to and including dates:  enter the date range you want your budget managers and subordinates to be able to view this scenario in their portal.
    • Edits from the portal from and up to and including dates:  enter the date range you want your budget managers and subordinates to be able to make edits to this scenario in their portal.
  • Employee Portal Message:  if you want to enter a message to the budget managers and subordinates on this scenario, you can type it here,



You can create additional scenarios at ANY time.
