The location code in an account number is created on the Personnel > Setup > Locations screen.

This screen contains all locations that are used throughout SchoolFi.  To indicate those codes that are used for Budget account numbers, the Budget Accounts option is flagged.




 

To Add a Location Code

Click on the Add Location button.  The Add Location dialog box opens:


                                     

  • Code - enter the numeric location code you wish to use in your budget accounts (2 or 3 digits)
  • Name - enter the name of the location code
  • Usage - make sure only the Budget Accounts check box is checked
  • Display Sequence - this controls the order in which the location codes are displayed on the screen

Click Add and the Location Code will be added to the list.



 

To Modify a Location Code

To modify a Location Code, click on the Properties button.  The Modify Location dialog box opens:

  • All fields on this screen can be modified except the Code.
  • If the Location will be utilized for Positions, ensure the usage is set for Personnel
  • If the Location will be utilized for Timesheets, ensure the usage is set for For Timesheets
  • If the Location will be utilized for Employee Forms, ensure the usage is set for Employee Forms
  • The State School Code field is utilized to link the location to the School.  This is required if the location is utilized for Timesheets or for Employee Forms.
  • SIS Code = Used for specifying the exact Genesis school code that staff members of this location should be assigned, when importing staff members into the SIS. Normally, Genesis schools are matched based on the CDS codes, which happens automatically if SIS Code is left blank.
