Dimensions: Funds

Financial > Setup > Dimensions > Funds


The standard State Funds from the State's Chart of Accounts are pre-loaded into the system.  They are identified by the green New Jersey symbol in the "State Defined" column.


                               

Adding Funds

If you need to add an additional Fund, click the "Add Fund" button.  This brings up the "Add Fund" dialog:

                               

  • Code - enter the new Fund number
  • Description - enter the description of the new fund
  • Type - using drop down, select the type of fund
  • Parent Fund - select the fund to which this new fund will collapse on the reports.  Note how 11, 12, 13 & 15 have 10 as the parent fund.

     Then click the "Add" button.  This will add the new fund to the list.


Modifying a Fund (and Linking a Fund to a Bank Account)

Funds can be linked to an Accounts Payable bank account.   To link a bank account to a Fund, click the Properties  button for the Fund.  This will bring up the "Modify Fund" screen for the selected Fund:

                               

From this window you can update:

  • Description for the Fund
  • Used in Board Secretary Report check box - Note:  This option cannot be checked for funds with a parent fund
  • Ignore Available Funds Threshold Settings - created with the intention this would be used for Student Activity and Enterprise Funds.  Checking this box will allow accounts in this fund to go into the negative when requisitions or POs are entered for more than is available in the account.  It overrides the global setting to disallow accounts to go negative.
  • Parent Fund (if there is one)
  • Closing Entries - Genesis sets up all standard funds.  You can identify your district added funds as "zero out" or "close to 770" by using this drop-down
  • Fund Type - use the drop-down to change the fund type
  • Bank Account - DO NOT USE THIS if you (or Genesis) has already set up your funds on the Financial > Setup > Bank Accounts screen.   It is best to use this feature via the Financial > Setup > Bank Accounts screen.

Click 'Save Changes' to store the changes and finish editing the Fund.
