Working with Employee Forms: Employee Form Folders

Form Folders

You can create Form Folders so that each Employee Form can be housed in its own folder under the "Documents" tab within their Employee Portal.


To add a Form Folder, click the "Add Employee Form Folder" button.


The order of the folders in the list is controlled by the "Seq" value.  To place the folder names in alphabetical order, adjust their Seq values.


The DEFAULT Folder ("Default folder for employee forms") is created by the system and cannot be deleted.  All Employee Forms default to the Default folder.



Creating Employee Form Folders

There are no limits on the number of folders you can create.

On the popup, create the Form Folder Code and Name. Then click the "Add" button.

                                    


Enter a Code, a Name and click "Add" to create the folder.  The "Seq" (sequence) number controls the position of the Folder in the list of Folders.  New Folders default to the bottom of the list.  To control the position of the Folder in the list, adjust the sequence number accordingly.




Editing / Deleting Employee Form Folders

Only the system "Default" folder cannot be removed.  To remove a Folder, click the Delete button corresponding to it:


To modify a folder, click the  button corresponding to it.  This brings up the "Modify Folder" screen:

                        


You can update the Description, the Seq (sequence #) and the "Hide Folder in Portal" checkbox.  The "Code" cannot be altered.  Click Save to store your updates.




Moving an Employee Form from One Folder to Another

To move an Employee Form from one Folder to another, click on the button.  This brings up the Modify Form screen (described here).  At the top of this screen there are four key fields:

                         


To change the folder for the Employee Form, select the desired Folder from the "Folder" drop down and then click the  button.
