Working with Employee Forms: Listing/Viewing/Deleting

Existing Employee Form are listed on the "Setup→Employee Forms" tab.




Interpreting the List of Employee Forms

Columns:

  • Code - Code for the Employee Form.  Used internally in the system to track the form.
  • Description - The name of the Form.
  • Folder - The Folder Forms will appear in.  Can be changed on the Employee Form Properties/Modify Form screen.
  • Output - The PDF Form or Web Form that will be used to generate PDF output for the Form.  Some Forms may not generate output.
  • Submission Status - Current "submission status".  This show the number of staff members who have submitted this form vs the number that have been published to for.
  • Sets User Flag - If this Employee Form sets a User Flag, it is listed here.
  • Auto Publish - This indicates whether or not 'auto-publish' is turned on for this Employee Form.
  • Visible in Portal - This indicates whether the Forms have been made available to staff members in the Portal.
  • Frequency - Frequency indicates how many times this Form can be filled in by a staff member (once ever, once in a school year, daily, weekly, unlimited)..
  • Sequence - This number controls the Employee Form in any list of Employee Forms, including on this screen.



Searching for Employee Forms

The  "Setup→Employee Forms" screen includes a set of five search criteria 

  • Code / Name - This is a keyword search that compares the entered text with the Codes and Descriptions of all Employee Forms.
  • Questions Form - This is a drop down containing the list of Web Forms.  Selecting a Web Form from this list searches for all Employee Forms which use the selected Web Form as their "input" form.
  • Outputs to PDF Form - This is a drop down containing the list of PDF Forms.  Selecting a PDF Form from this list searches for all Employee Forms which use the selected PDF Form ato generate output.
  • Frequency - This drop down contains the set of system defined frequencies (School Year, Daily, Weekly, Unlimited) and if one is selected, searches for all Employee Forms with a matching frequency.
  • Folder(s) - If this field is 'clicked' into, a popup displaying a checkbox list of all existing Employee Form Folders is displayed (see below). Any combination may be selected:
