Working with Employee Forms: Tracking Status / Custom Form Status

There are two separate status codes associated with Employee Forms.  The first is the standard Status that is built into the system.  These codes are a fixed set and are triggered as the Employee Form moves through its processing.


The second is an optional Custom Status Code that can be used for district-specific purposes - Custom Status works in addition to the regular Status and does not replace it.


Built-In Status Codes

  •  - The Employee Form is ready to be filled out by the receiving staff member.  It might be new or it might have been rejected during the approval process and returned to the originator.
  •  - The Employee Form has been filled in by the originator, signed and submitted and is waiting for one or more approvals.  This only occurs if an Approval Chain is assigned to the Employee Form.
  •  - The Employee Form has been signed, submitted, and, if necessary, approved.  



Standard Status Codes vs Custom Status

These are two separate things.  Essentially, you can create a additional set of custom status codes that appear in their own column on the Results screen of Employee Forms.



Creating and Using Custom Status Codes

Custom Status requires a Codes Table (Setup→Codes screen) of type "Employee Form Custom Status" with at least one custom status code in it.


Associating a Custom Status Codes Table with an Employee Form

 

Selecting a "Generic Code Set" turns on the "Custom Status" functionality for the Employee Form and causes the "Custom Status" column to appear on the Results screen.


The "Generic Code Set" is standard Codes table, and it is created and maintained on the Setup→Codes screen.
