Transmission of Affordable Care Act (ACA) data to IRS

Step One:  Application for Transmitter Control Code (TCC)

Step one should be done in early January so you will be ready to transmit after the 1095C's are prepared and made available to employees, generally mid February is when you would be transmitting the data files to the IRS.


Go to this link, thre is a description of the steps and information required to establish an individual E-Services account:  https://www.irs.gov/individuals/secure-access-how-to-register-for-certain-online-self-help-tools .  


Once you have gathered the information needed, you will need to create your account and apply for your TCC.  Ensure that you file for an E-Services account and not a FIRE account.  https://www.irs.gov/tax-professionals/e-services-online-tools-for-tax-professionals

Step Two: Checking District info and preparing the file for transmission

If the information below is correct, your now ready to create the data files.  

 

(there are 2 files created a "manifest" file that contains details of what is coming, and the Data file that contains the actual employee data).  They are always created in pairs and must be transmitted together. If you need to create a new set, you will come back this screen and recreate the files. Click on the Download Files button, A Zip File is created and should be placed where you can get to it. 

 


           Finally right click on the Zip File you just created and select  Extract Compressed folder

                               


The new directory will look like this:


 

Note:  If this is your first use of the ACA Transmission tool, You must pass a transmission test, Click on the link below for instructions on completing this test   If you have previously passed the transmission test (even if you used another vendor) using your TCC code, you can bypass this step.   Click on this link for instruction on creating a Transmission test file  →     Transmitting a Test File

Step Three:  Login into the IRS E-Services site and transmitting the files

Go to this link 

 https://www.irs.gov/e-file-providers/air/affordable-care-act-information-return-air-program

                         


 

You will be brought to the ACA Logon Screen  You must use the Login that you created

                        


A screen will be provided for you to enter your password,
Note the Image displayed is the one you selected when you created your account.
 Enter your password then click on Submit.

                     


Finally enter the code that was sent to your phone, and then submit

                    


A list of the your recent logins is provided, Click Continue

                   


Select the option for your District and then click Submit

                   


To check on your application information (if you need to verify your TCC code) you can select this option

Select Upload ACA forms

                 


Browse and select the 2 files then click Transmit. 

                


Click on Check Transmission status Button 

              


To check the status, you will need to select and then enter your TCC number and receipt ID
 (That you wrote down or printed after transmitting the files)

             


You need to continue to check this screen (refresh the screen by clicking on home and then re-selecting
 check status until the processing message changes 

            


SUCCESS - Once it says Accepted, Print for your records and your all done.

If you get Accepted with Errors, there are errors that need to be corrected.   Download the error file and attach it to a JIRA

      Download the analyze errors information, put it in a JIRA saying that you were accepted with error. There is a corrections
        Screen in Genesis that will allow you to "fix" and retransmit a corrections file. If you need help indicate in the JIRA

If you receive the message Rejected and an option to download the error file.  Download the file and send it to Genesis in a JIRA.

We will look at the error file and then let you know what the problem is.

We have gone thru a rather vigorous testing process to gain certification to produce files for upload into ACA.
