Overlay PDF Forms

An Overlay PDF is when you have a form already created in Word or PDF format that you will upload into the system.  You can utilize it to “layer” information from SchoolFi on top of the PDF form to create a “completed” PDF document.  Some examples are Workshop Certificates, Identification Cards, or Employee Forms.

 

EXAMPLE:  PDF Overlay form to be used in Employee Forms:  The New Jersey Pension Report of Transfer form was created by the State of New Jersey and is filled out when Staff members are transferring their pension membership between 2 districts. 

Here is an example of a “blank” version of the form:


                              



 

The first step is to import the PDF Form into SchoolFi:

Go to Setup >>>  PDF Forms >>>  List of Forms and click on the “Add PDF Form Template” button:

        


 

In the pop-up window, enter the required information:

                     

 

 

After you click “add” you are brought to the “Modify" tab.  Here is where you can upload either your Word document (red arrow) of PDF Document (purple arrow)

                   


 

When you go to the “List of Forms” tab you will see the PDF Overlay form that you have created.  There are a number of options for the form.

                 


The “Fields” button will open up the "Field" sub-tab.  On this tab, you can add additional data that will print out on blank spaces on the form.  Navigate to the "Fields" sub-tab and add in any macros needed to pull specific data on to this form.  For example, if you want the system to insert the employees name onto the PDF Overlay, this is where you would program that into the PDF Overlay.  Please refer to the You-Tube Help Video on the tab for detailed instructions for adding fields to your PDF Overlay
