The PD Hour Workshops feature allows you to create Professional Development Workshops that staff members can sign up for from the Employee Portal.
To create a new PD Workshop, click the "Add A Workshop" button.
On the popup, you will add all needed information specific to the PD Workshop you are creating.
- Name of Provider
- Educator's Name/Presenter's
- Name of Professional Development Activity
- Description of Professional Development Activity
- Date
- End Date
- Start Time
- End Time
- Location
- Host/Presenter/Facilitator
- Hours
- Max Participants: the total number of staff that can sign up, once this number is reached, no more staff can sign up
- Category Code
- Intended Audience
- Comments
- Staff Members can Un-RSVP
- Allow Late Sign-Ups
- Sign up by Date
- Email Reminder Options
- Email Message
- Sign-In Sheet PDF
Then click the "Add Workshop" button.
After you add the workshop it will appear on the main screen for you to manage.
To reference the information about the workshop that you set up, or to make an adjustment to it, you will click on the edit button for the workshop and it will bring you into the screen to modify the workshop details.
Additionally, when you are under the edit button it grants you access to three new tabs for the workshop:
Modify Workshop - which is where you are able to make changes to the information about the workshop.
Invite Staff - Invite staff to the workshop that you feel this would benefit.
Manage Attendees - Managing and removing staff who signed up for the workshop.
Invite Staff
To invite specific staff members to a Workshop, you can use the different search options to generate your list of staff to select and invite to the workshop.
It is as simple as searching for the specific staff member(s) using the options in the search parameters, and then checking off their names, and click the Sign up Staff option.
Managing Attendees
Is where you will be able to see the list of staff who are signed up for the workshop, as well as remove anyone if need be.
Additionally on this screen you can do the following:
- Create PD Hours - create hours based on who attended the workshop
- Resend Invite Email - resend the invite to all those who are signed up
- Uninvite Staff - if you previously invited staff, you can uninvite them
- Resend Signup Email - if you want to resend the email the staff would get when they first signed up to the workshop
- Un-Sign up Staff - remove staff who signed up on their own
- Delete Staff - delete a staff member from the workshop all together
- Print Sign in Sheet - print a PDF of the sign in screen for staff to use when arriving at the workshop
- Create Certificates - generate a generic PDF certificate that would be attached to the PD hours event
- Email Attendance - if someone else is hosting the event, you can send them the attendance sheet for the event
- Custom Email - send out an email blast to all of those staff who are signed up for the workshop
Each workshop will have its own status which can be one of the following:
Past Date: The event date for this workshop has passed, but PD Hours records have not yet been created.
Historic: The event date for this workshop has passed, and PD Hours records have been created.
Open: The event date for this workshop has not passed, and is still eligible for staff sign ups.
Closed: The workshop has been created but not set as 'Open', and is not visible on any staff member's portals.
Create PD Hours From Workshop
Once the PD Workshop date has passed, you can create the PD Hours and assign it to the staff members that attended the workshop.
On the popup, click the "Create" button to confirm you want to add the workshop hours.
The next popup will indicate that hours were created for those staff members.
