Processing Open Enrollment Forms

To review and process Open Enrollment forms, navigate to the Setup >>>  Employee Portal >>>  Open Enrollment >>> Process Forms tab.  The most common search criteria is illustrated below, but, you can search for signed forms (forms that are ready to be processed) and you can utilize any of the many fields to search for the Open enrollment forms that you want to process.  Please note that you can utilize the Named Search option to save search criteria for future processing of Open Enrollment Forms. 





After you search for signed forms, all of the signed forms that meet your criteria will be listed.  You will see the selections that each employee has made, the "Old" or the "from" plan that they employee current participates in along with the "new" or the "to" plan that they have selected for the subsequent period along with the Employee Monthly savings for the respective plan.  A negative savings indicates an increased monthly cost for the respective plan.  In addition, you can review the Members that the employee has included as a dependent in the process by clicking on the bubble in the "Members" column.   




If you want to send a member an email, you can click on the individual row (left hand column) and then click on the Send Email To...  button.  You will then select the Email Template that you want to send to the individual and click the Send Emails button.  To create an email template for this task, you can click on the hyperlink to access / manage email templates and you can create as many templates as yuo may need. 




To process the Open Enrollment form(s) click on the check box on the far left column to select the forms to be processed and then click on the Processed Checked.   Enter the Start and end date of the Health Benefit Tracking record that will be created and review the information in the pop-up box and follow all of the instructions.  


The Start Date should agree with the Use plans that are available as of field on the Plans Available tab.


Click on the Process Checked Forms to complete the processing of the Open Enrollment form(s).  





How to review processed forms:

In the search box, change the status to Processed and utilize any of the search criteria.
