Longevity Categories

Longevity Categories are required for the calculation of a staff member's Years of Service records.  


There are three possible ways to credit a staff member with a full year of longevity in SchoolFi.  They are set in the columns contained in the purple box.  


  • Option 1 - Minimum Days:  The staff members are credited with a year of service after a minimum number of days has passed in the school year.  For example, after 100 of 186 days.  This requires that the "Minimum Days" field  and the Days in Year" be filled in.  


  • Option 2 - Service Anniversary.  Staff members can be credited with an additional year of service on the anniversary of their start date if they have worked the minimum number of days in the current School Year.   This requires that the "On Contractual Start Date Anniversary" checkbox be checked.   If this checkbox is checked, the update will occur automatically.  The "Minimum Days" field must also be set.


  • Option 3 - Contractual Start Before Specified Day of Year.  Staff members can be credited with a year of service in their initial year of employment, if their contractual start date was earlier than the specified date and they worked the minimum number of days.  This requires that the "Contractual Start Date Before" field is filled in with month/day and the "Minimum Days" field must also be set.


Only one of these mechanisms should be set up for a category.




The Longevity Category is set on an individual's Years of Service tab by selecting the category from the dropdown:




Mass Set Longevity Category for a List of Staff Members

To set the Longevity Category for a list of Staff Members, go to the Personnel >>> Mass Change screen.  This screen allows you to update one field at a time for a list of staff members and offers a wide variety of fields to update, Longevity Category among them.


  • Step 1: Select the list of staff members you wish to update.   YOU MUST HAVE CREATED THIS LIST BEFORE BEGINNING THE MASS CHANGE PROCESS.
  • Step 2:   Select "Longevity Category" as the field you wish to change.  It is currently the last item in the list, identified as being on the "Years of Service" Staff Record screen:
  • Step 3: Select the Longevity Category to assign to each staff member on the selected list  
  • Step 4:  Click Apply Changes to run the mass change operation, initially in "Simulation Mode" (i.e. with the "Simulation Mode" checkbox checked as it is by default).   This produces a list of all staff members whose "Longevity Category" would be changed by this operation.    You will be prompted to confirm you wish to run the mass change.
  • Step 5:  Review the list of updates now on the screen to make sure you want to update all of the listed staff members with the selected Longevity Category.   Note that if you ran the process in simulation mode, it will be so labeled.
  • Step 6:  Once you are satisfied that the list is correct, uncheck the "Simulation Mode" checkbox and click the Apply Changes button to actually run the mass change process.
