CRDC - Civil Rights Data Collections (Using PCR) 2023-24

This report collects data for the CRDC Report (See 2023–24 CRDC School Form) using data from the Position Tracking Records and Attendance modules.

*To effectively use this report you must have used Attendance or the Frontline Integration sync with Staff Management in 2023-24 AND had Position Tracking Records in 2022-23 as well as 2023-24.*




Report Options:

  • School Year - Run the report for all position tracking records that are in the selected school year.
  • or only Positions active on - Run the report for all position tracking records that were active as of this date in the school year of the date provided (The school year parameter above is ignore)
  • Staff List - Run report using the above options but only include staff on this staff list
  • Staff - Run report using the above options but only include this specific staff member



How the data is collected:

  • The data is collected from the Position Tracking Records and Attendance (can be through Staff Management or using the Frontline Integration with Staff Management).
  • The State Code on the Job Code on the Position is used to determine if the employee falls within the categories on the report.

The categories on the report are determined according to the rules in this table:

Certified / Not Certified

The position tracking record's FTE is counted as certified OR not certified if the Position has Certification Requirements setup and the requirements are met or are not met.

Report Breakdown  


Note: The system is defaulted to track Teachers with State Code 1000 - 3000, 3120 and 3105. 

The district can choose to classify 3120 (Speech Correction/Language Specialist) and 3105 (School Librarian, Media Specialist Assoc.) as Teachers on the Personnel - Setup - Jobs - Setup. If the district excludes these options the 3120 and 3105 will not be tracked as Teachers.


STAF-1

  • Total number of full-time equivalent (FTE) teachers
    • The total of Position Codes that fall under State Code 1000 - 3000, 3120 and 3105 on the Report will match the total on the "Scaled FTE" column in the Audit. (*Please see Note above if teacher codes are different in your district) 
      • This column was added in to the report due to the amount of repeating positions a staff member can have in the same year. If their is a change made to a position record and the tracking record is closed the position will also show up on the report. With this new "Scaled FTE" column, the repeating position codes for the same staff member will now be scaled on the report so that the total FTE is always 1.00 for that staff (per location and repeating position).


  • Number of FTE teachers who are certified
    • Only looking at Position Codes that fall under State Code 1000 - 3000, 3120 and 3105 (*Please see Note above if teacher codes are different in your district)  
      • These Positions will pull as certified if they fall under the above state code AND the staff have a Certification that matches what is on the Position Code under the Certification Requirements as either Acceptable or Required. 


  • Number of FTE teachers who are not certified
    • Only looking at Position Codes that fall under State Code 1000 - 3000, 3120 and 3105 (*Please see Note above if teacher codes are different in your district)  
      • These Positions will pull as not certified if they fall under the above state code AND the staff DO NOT have a Certification that matches what is on the Position Code under the Certification Requirements as either Acceptable or Required. NOTE: The staff will not show as not certified if there is no Position Certification Requirement added for the system to match to the Staff Certification. 


STAF-2 

  • Number of FTE teachers - mathematics
    • Only looking at Position Codes that fall under State Codes: 1016, 1102, 1901, 1904, 1907, 1962
    • These positions will need to have staff certifications that match the Position Certification Requirement. 


  • Number of FTE teachers - science
    • Only looking at Position Codes that fall under State Codes: 1017, 1103, 2202, 2205, 2206, 2214, 2231, 2235, 2236
    • These positions will need to have staff certifications that match the Position Certification Requirement.


  • Number of FTE teachers - English as a Second Language
    • Only looking at Position Codes that fall under State Codes: State Codes: 1485
    • These positions will need to have staff certifications that match the Position Certification Requirement.


  • Number of FTE teachers - special education
    • These Positions are manually set on the main Personnel - Positions screen. On the Position Code there is a field for Job Code Subcategory that will need to be set to " 5 Special Education"
    • These positions will need to have staff certifications that match the Position Certification Requirement.


STAF-3 

  • Number of FTE teachers in their first year of teaching
    • The State Codes 1000 - 3000, 3120 and 3105 will be pulled for this field. (*Please see Note above if teacher codes are different in your district)  
    • Looking at Date of Hire (In District) as well as if the staff had a position in that school year.


  • Number of FTE teachers in their second year of teaching
    • The State Codes 1000 - 3000, 3120 and 3105 will be pulled for this field. (*Please see Note above if teacher codes are different in your district)  
    • Looking at Date of Hire (In District) as well as if the staff had a position in both the school year the report is running and the one previous. 


STAF-4

  • Number of FTE teachers who were absent more than 10 school days

    • The State Codes 1000 - 3000, 3120 and 3105 on the Report will match the total on the "Absent More than 10 Days" column in the Audit. (*Please see Note above if teacher codes are different in your district) 

      • When the absence is above 10, the sum of the Scaled FTE per staff member is counted towards the report for that location. 

    • To control which Absences the district wants counted toward the report there is a checkbox on the Setup - Calendars - Attendance Codes screen called "CRDC Absence". If checked the Attendance Code will be counted toward the report when used by a staff member.


STAF-5a

  • Male teachers who were employed at this school during the regular school year
    • Pulling from the Gender and Ethnicity set on the Demographic screen.
      • If a staff has more than one Ethnicity checked, they will fall under the "2+ Races" column.


  • Female teachers who were employed at this school during the regular school year
    • Pulling from the Gender and Ethnicity set on the Demographic screen.
      • If a staff has more than one Ethnicity checked, they will fall under the "2+ Races" column.


  • Total number of teachers who were employed at this school during the regular school year
    • This is the total Male and Female count.


STAF-5b

  • Number of teachers who were employed at this school for both the 2023–24 school year and the 2022–23 school year
    • Staff has to have PTR for both school years.


STAF-6

  • Number of FTE school counselors
    • Only looking at Position Codes that fall under State Codes: 3100 - 3102
    • These positions DO NOT need to have staff certifications that match the Position Certification Requirement. 


STAF-7

  • Number of FTE nurses

    • Only looking at Position Codes that fall under State Codes: 3114 - 3115
    • These positions DO NOT need to have staff certifications that match the Position Certification Requirement.


  • Number of FTE psychologists
    • Only looking at Position Codes that fall under State Codes: 3116
    • These positions DO NOT need to have staff certifications that match the Position Certification Requirement.


  • Number of FTE social workers
    • Only looking at Position Codes that fall under State Codes: 3117 
    • These positions DO NOT need to have staff certifications that match the Position Certification Requirement.


SECR-1

  • Number of FTE sworn law enforcement officers
    • This will always say FILL ME IN, we do not track this data
  • Number of FTE security guards

    • This will always say FILL ME IN, we do not track this data
