Generating & Reviewing Summer Pay Earnings Records

This step will create the Summer Pay records so that you can review what each person is to be paid.  It will also show you how to generate the earnings for each individual.

 

Review staff totals/earnings:


From the Payroll > Setup > Summer Pay screen, click on the Review and Create Other Earnings for Staff button.

                                


It takes you to the following screen where each employee who is set up to receive Summer Pay is listed.  The total amount they have paid into Summer Pay for the school year is shown in the FTD Amount column, and then that is divided by the number of pays configured to pay out the earnings.  In this example, the staff is being paid over four pays.




Generate the Summer Pay Other Earnings Records

To generate the earnings for each person (meaning to push the Other Earning to the employees' Other Earnings screen), after you have reviewed everyone for accuracy, click the Create Unpaid Summer Earnings button.  After this is done, each person will be all set up to receive their summer pay checks on the pay periods per the columns on this screen and for the amounts shown for each.  



Other things you can do on this screen:

  • Don't Pay checkbox column - if you do not want someone to have earnings created, check this box next to their name.  They will not have Summer Pay earnings created and will not be paid for the earnings.
  • Pay on 1 pay checkbox column - if you want someone to have their Summer Pay earnings paid in just one payout instead of being spread over multiple pay periods, check this box and that person will receive a check for their total FTD Amount.
  • Delete Unpaid Summer Earnings - if you reviewed your staff and have found errors, you can click this button and it will clear the data on this screen.  You can fix the errors and then recreate the earnings records.

 

Now you can process your summer pay payrolls as you would normally process any other payroll.  Remember, each Summer Pay payroll is run separately from regular payrolls.
