Employee Form Results

Examination of results of staff members working with/filling out Employee Forms is available in SchoolFi internal (not the Employee Portal) via the Setup→Employee Forms→Results screen.  This is essentially the "process management" screen for Employee Forms.



The Employee Form Results Screen

This is an internal SchoolFi screen (not available in the Employee Portal) that allows you to inspect the status and responses to an Employee Form.  The Employee Forms Results screen (the Setup→Employee Forms→Results screen) allows you to work with a single Employee Form at a time:




 

Working with the Results Screen

The first step in working with the Results screen is to select an Employee Form:


Once an Employee Form has been selected, all of the rest of the search criteria search for staff members who have received the selected form.   Everything is in the context of the form you selected.

  • If no additional criteria have been selected, all of the staff members who to whom the has been published will appear in the list:
  • Using additional criteria narrows the list to only the staff members who match all of the criteria: 
    • Staff List - Finds Forms for the staff members currently on the selected Staff List.
    • Staff - Allows you to select a single staff member at one time.  If the selected staff member has any Forms of the selected type, they will be listed.
    • Employment -Employment status:  Active or Inactive.
    • Locations - Select one or more specific buildings - if no building is selected, all buildings are included.
    • Departments - Select one or more specific departments- if no department is selected, all departments are included.
    • Form Status - Select one of the standard, built-in Employee Form statuses.  Only Forms with the selected status will be listed.
    • Submitted From/To - 
    • Published On/After - Publish dates.  Selects Forms published in the selected time period.
    • Form Answers - This tool allows you to select specific answers to questions in the Employee Form, assuming the Employee Form has an associated Web Form.
  • Search by Form Answers - The Form Answers option brings up a dialog displaying every question in the form with the possible answers:
                          

  •  This dialogue will be unique to each Employee Form and show the questions for whichever Form you have selected.  It allows you to search for specific answers.



Search Results List


The search results will list all matching staff members and their responses to any attached Web Form.   The columns are variable:  

Fixed Columns (always appear)

  • Checkbox - This allows this staff member/form to be selected (deleted, recalculated, ...)
  • Counter (#) - This is just a count of the staff members/forms in the list
  • Staff ID - Staff member's ID in SchoolFi
  • Name - Staff member's official name
  • Category - Staff Member's "Category" setting on their Demographics page (not the Evaluation Category)
  • Status - Current status:  A for Active or I for Inactive.
  • PDF - Printable version of the form for this staff member.
  • Docs - List of any attached documents
  • Status - Current status of the Form.
  • Submitted/Acknowledged - Date/time the Form was submitted or acknowledged.
  • At -
  • Last Signed into Portal - The last date/time the staff member signed into the Employee Portal.

Conditional Columns

  • Approval Chain - Only appears if the Employee Form specifies an Approval Chain
                                                     
  •  An example of an Approval Chain where the Relationships have not been resolved into the actual Staff Members.
  • Custom Status - Custom Status Field - only appears if the Employee Form uses a Custom Status Codes Table.


Answer Columns

  • All remaining columns come from the Questions in the Web Form attached to the Employee Form.
