Genesis provides standard email notifications when and employee form is submitted, completed (approved), sent back or denied. The District can create custom email notifications for any of these statuses. The Web Form MUST utilize the CODE function for the answer to all questions for this function to operate. In addition, the custom email notification for the form can ONLY utilize questions / CODES from the Web Form that is associated with the employee form. You CAN NOT bring in CODES for a Web Form that is not associated with the employee form.
To find the email notification options, navigate to the employee form and click on the Edit button:
Once you withing the setting for the employee form that you want to create / choose a custom email notification, scroll to the email notification options section. You can select the email template for the related event by utilizing the drop down, or, to create a custom template, click on the Edit button on any row.
Take note of the email template that you want to customized and click on the List Templates tab.
Search for the email template that you want to modify and click on the Copy button
Enter a code and a template name and click on the Copy button:
Navigate to the list of Email templates and search for the new template that you created. Then you can click on the Edit button to customize your email. The following pop up will appear:
For this example, my employee form is a New Vendor Request form and I want to insert the business name and address information from the completed and approved employee form into the email notification that is sent to the originator. Here is what the Web Form looks like and the highlighted form responses will be inserted in my email notification.
I added in the highlighted text and included a picture of the data that I want to pull into my email:
First, I will insert the response to the Legal Business Name. To add in the MACRO, click on the "blue box" next to the right of the text field. Select the Web Form from the employee form.
Find the question on the Web Form that you want to insert the answer and hit the Choose button
Next, I added in all of the address fields related to the new vendor. After adding all of the answer MACROs, the templates looks like:
Here is what my completed form PDF looks like:
And, finally, here is what the email the originator received:
