Importing mSGP Scores

Indicating mSGP


Ensuring that the staff members have the appropriate fields checked off in the previous school year is important. They should be classified with the NJSmart Eval Score Type of Teacher along with the option Teacher Receives an mSGP is checked as well. This option will only appear if they have the score type of Teacher saved. 


Please note - Make sure you are working in the right school year, these scores are based on the previous year, so you will need to toggle back to make sure these are set correctly.





Preparing the mSGP File


To import the mSGP scores, you will first need to the file you received from the state that contains these scores. 


Step 1: Add a column before the SMID column titled SCHOOL_YEAR

    In the cells of this column, you will populate the school year of the data you are importing:
        For example:

           - If you are importing mSGP data for the 2022-2023 school year, you will type in 2022-23 in the cells.




Step 2: Adjust the following column headings within the file: (expanding the column widths may help with this cleanup)
    - Multi Year # of Students (this must be on one line, the format from the state it comes on 2 lines within the header)

   - Reported mSGP Score (there will be characters after the word Score, you will want to clear those out)





Step 3: Make Sure you save you file into the appropriate file formatting:
     - TXT/TSV - Tab Delimited Text Files 




Importing mSGP File into Staff Management


Step 1: In Staff Management you will navigate to System > Import > Select Table and File, so you can begin the import process.



Step 2: The table selection will be NJSmartEval, and then you can drag and drop your file below. Once your file is there, you will click the Upload File button and it will bring you to the next screen to start mapping the fields. 



Step 3: Once the page refreshes you will be on the Map Columns tab, this is where you are going to tell the system where to place the data in the staff members record. 


There will be two primary keys that you need to set, the first will be SchoolYear,
Dropdown 1: school_year
Dropdown 2: (Do not translate)

The second one is staffObjectId:

Dropdwon 1: SMID
Dropdown 2: to Staff.objectId from Staff.stateIdNumber 




Make sure after you make your selections you click save, these top section works independently from the bottom, if you do not save it, you will have to redo this later on. 





Step 4: Next you will want to map the data from the file to the respective fields in the system, once they are matched up you can click save right below and it will lock in your choices.



After you click save, you can toggle over one tab to the right titled Import Data in the dark green row above, this will be where you process the file you set up.



Step 5: On this screen make sure you run it in simulation mode first, to catch any errors or issues before loading it live into your site. You will want to check off the Insert New Rows, and Do not update fields.. and then click save options.


After you click save, you can click on Process file, which will then "apply" the changes to the system (in simulation mode), you can then click on View Log File to see what the import did. If everything looks good, you can click the back button on your web browser, and uncheck Simulation Mode and then save Options. From there you can click on Process File again and it will apply the changes live to your system.




You can look at the log file again to reference the changes the system has made.


You can reference the data that was loaded on the NJSmart Eval tab for that specific staff member.
